Job Title: Products & Services Assistant

Reports to: Head of Products & Services Delivery (Projects)

Job description

Overview:  

WISE is a not for profit, community interest company whose purpose is gender balance across UK STEM in industry and education. WISE is a membership organisation which generates its own income through B2B products and services to an increasing number of members and commercial clients. The Products & Services Assistant is a fantastic opportunity to work in a high-profile national organisation where you can make a difference to society. 

As our Products & Services Assistant, you’ll have the opportunity to work on a number of exciting WISE projects and events to support women working in science, technology and engineering. You’ll provide administrative, project and organisational support to our Head of Products & Services Delivery (Projects), as well as working to support our Events Lead to deliver a calendar of engaging WISE events.

You’ll play a key role in delivering WISE’s annual research projects. This will include supporting on primary and secondary data collection, helping to complete project management documentation and supporting with the writing of project reports. You’ll also provide ad hoc support to ensure the effective delivery of WISE projects and services including training, consultancy, events and membership. This will include particular focus on administrative support for the My Skills My Life online platform, WISE’s outreach tool.

Finally, you’ll be responsible for the co-ordination of our Knowledge Sharing Events (KSEs) and Webinars; liaising with speakers, collating material and acting as a single point of contact for attendees. You’ll also be providing key administrative support on WISE’s flagship events, so enjoying fast-paced communication and planning is important for the role. This will include working closely with the marketing team to ensure effective pre-, during and post-promotion of the event.

Terms: 

Salary; £22,000

Contract; Permanent

5% pension contribution for eligible employees

London weighting of £2,500 where applicable

Location: 

Place of work will be home-based at your home address. Home-based workers need to ensure they have a safe and reasonable space, security and privacy in which to work, and an internet connection able to adequately support work systems.
Although home-based, this role has lots of scope for UK travel when delivering in-person events and workshops.

Hours:  

The post is full-time at 37 hours per week

Job description 

  1. Work with the Head of Products and Services Delivery (Projects) to support the delivery and evaluation of impactful projects, both for our members and to promote gender parity in STEM
  2. Provide effective project support on WISE’s annual research projects, including primary and secondary data collection, identifying key themes and project report writing
  3. Co-ordinate the WISE Knowledge Sharing Events and Webinars, including event logistics, progress reporting, collation of speaker materials and event set-up
  4. Provide administrative support to the Events Lead on WISE’s flagship events – the WISE Conference, WISE Awards, CXO Breakfast & Ten Steps Measuring Progress Event
  5. Liaise with WISE Marketing Team to provide pre-, during- and post-event content and promotional information around My Skills My Life and projects being worked on
  6. Support the administration of the My Skills My Life online and training platforms for WISE, our trainers and role models.
  7. Support the co-ordination and administration of the WISE training offerings including Ten Steps workshops, our suite of standard Training Sessions and Workshops, and any new training offerings developed at WISE
  8. Act as point of contact for WISE members and other organisations undertaking online Ten Steps diagnostics
  9. Support with the evaluation of WISE events and Training and Support Measures to inform future improvements
  10. Undertake any other duties as required

 The person

Experience required at point of entry:

  • Providing project management support, including the development of project management documentation
  • Liaising directly with events venues to organise room booking, catering, AV requirements and other event practicalities
  • Providing excellent levels of customer service to a diverse range of stakeholders
  • Working effectively across different teams
  • Quickly understanding new information and adapting to new ideas
  • Experience of undertaking primary and/or secondary research
  • Communicating with delegates, either directly or via an events facilitation site e.g. Eventbrite

Experience gained on the job:

  • Project management support in a not-for-profit environment, focused on science, technology, engineering and mathematics (STEM)

Skills

  • Strong organisational skills, including the ability to manage multiple workstreams simultaneously
  • Excellent attention to detail, including time management skills
  • Autonomy and proactivity, especially in a remote working environment
  • Strong communication skills including written and verbal across a range of channels
  • Ability to extract key themes from research and undertake simple data analysis
  • Ability to professionally represent WISE to customers and external organisations
  • Confidence when dealing with people at all levels
  • Strong IT skills, including completely comfortable using all MS Office packages including Outlook, Excel, Word, PowerPoint and Teams
  • Comfortable using ticketing and events facilitation sites such as Eventbrite
