We are seeking a Senior Events Associate with strong project and event management skills to manage in-person and virtual events from beginning to end and support and maintain client relationships.
This position requires an individual with the following:
- 5 years of relevant event management experience
- A self-starter with a solutions-oriented approach and the ability to work independently
- Strong collaborator with the ability to work on cross-functional teams
- Strong oral and written communication skills
- Strong work ethic and a detail-oriented approach
- Ability to effectively work on multiple accounts/projects concurrently
- Ability to lift up to 25 pounds
- Desire to work in a fast-paced environment and ability to meet deadlines
- Ability to learn to work with a wide range of tools and online platforms including but not limited to Microsoft Office Suite (Excel, Word, PPT), Adobe Photoshop and Pro, Google Suite, Zoom, Canva, MailChimp/Constant Contact, Project Management system such as Asana;
- Experience with event management systems (EMS) and mobile apps, such as Cvent, Aventri or Crowd Compass, is a plus;
- Confidence to manage projects independently while representing Collaborative with professionalism.

- Ability to travel and availability to work evenings and weekends as needed; and
- Bachelor’s Degree or equivalent
Requirements
Responsibilities include, but are not limited to:
- Coordinates events and meetings by overseeing production of materials, development of overall meeting agendas, communications with participants and speakers, travel support, developing invitation lists, and providing overall customer service.
- Ensure clear communications between project team members, including setting up regular project check-ins with internal and external teams. Actively participate in team and project meetings.
- Prepare agendas for client meetings and document follow-up. Take and disseminate meeting minutes (document meetings, tasks, and deliverables).
- Develop timelines and reports.
- Draft correspondence, newsletters, and social media content for events and initiatives, and activate community engagement.
- Manage and support webinars, virtual conferences, and in-person events, including but not limited to:
- Manage vendors: research, develop, track, and analyze RFP responses for internal review; make recommendations and assist in final selection.
- Assist with drafting preliminary budgets and tracking expenses for events.
- Supports supervisor-developed project plan
- Monitors timeline and fulfillment of deliverables
- Day-of coordination between hotel, outside vendors, AV team, online platforms, etc.
- Oversee speaker management, maintain speaker materials including bios, photos, logos, etc., preparation, and on-site support
- Communicate effectively with clients to identify needs and evaluate alternative solutions
- Manage databases, registration systems, and event website content.
- Cultivating and maintaining strong working relationships.
Salary is competitive and commensurate with experience between $70,000-$80,000. The benefits are excellent and comprehensive. The Senior Events Associate will work across teams. Collaborative is a remote working environment.
