We are seeking an energetic, highly organized, and self-directed Associate to provide programmatic, administrative, and logistical support for Robert Reynolds and Ryan Cohen, the Executive and Deputy Executive Directors (respectively) of Vote Rev. Robert and Ryan have their hands in all aspects of the work to set our organization up for success to achieve our mission, from:

  • Overseeing the strategy of our work designing to voter engagement tactics and supporting campaigns to use them to win, to

  • Building and maintaining a diverse and motivated team, to

  • Ensuring that the way we work together and communicate runs smoothly, to

  • Fundraising and external relationship building.

They need a right hand who has strong attention to detail, learns quickly, gets things done, and absorbs information like a sponge.

The Associate will ensure that the executive team is organized, effective, and prepared in their roles. They will do that by supporting the executive team with a range of programmatic tasks and projects, including ensuring that they is prepared and briefed for key meetings, able to track progress against organizational objectives, and responsive to key stakeholders including donors, partners, and other collaborators. This is a unique opportunity to get firsthand insight into leadership of a social impact start-up and all the various pieces it takes to get it to run well.

Over the next two years, your work will touch every stage of the Executive department, including strategy setting, strategic planning, and executive relationship management. Activities will include:

Scheduling and administrative support. Ensure priorities are consistently met in a fast-paced start-up environment, including, but not limited to:

    • Conducting background research, digesting incoming information to extract key points, drafting briefing memos with strategic recommendations,, and preparing the Deputy Executive Director for meetings and events,

    • Preparing expense reports, making travel arrangements, scheduling and confirming meetings; and

    • Responding to requests and inquiries from external parties.

  • Meeting management and planning. Support the executive team in managing and planning internal and external meetings, including sending out agendas, taking meeting minutes, and following up with action items.

  • Communication. Interact with internal and external stakeholders, providing excellent customer service and timely responses, representing Vote Rev and the Deputy Executive Director in a courteous and professional manner.

  • Project management. Manage projects on behalf of the executive team including tracking initiatives, monitoring progress toward goals, ensuring follow-through, and sustaining momentum needed to drive initiatives to completion. Manage special projects and assignments, in close coordination with team members from other departments.

  • Other tasks and projects. Every day is different at Vote Rev, and the Associate should be prepared to dive into whatever the day holds.

  • Supporting the executive team in managing important projects and relationships that strengthen the progressive movement



Requirements

A successful candidate will be

  • Able to anticipate where they can be helpful and eager to proactively offer support to meet the needs of the executive team

  • Comfortable juggling prioritiesworking and delivering quality results under pressure

  • Effective with time management and communicating proactively about timelines

  • Demonstrated self-starter who is self-motivated and has a proven ability to work independently and in partnership with a highly motivated team in a rapidly growing and changing organization

  • Curious, receptive to feedback, and eager to grow

Key skills and experience:

  • 2-4 years of relevant professional experience 

  • Experience with organizational tools like the MS Office Suite, Google Workspace, and managing a calendar 

  • Strong writing skills, including the ability to write clearly and succinctly 

  • Strong communication skills, including proactive communication and the ability to ask clarifying questions when needed 

  • Motivation to work in a dynamic team setting 

Helpful but not required:

  • Grassroots organizing experience on a political or legislative campaign is plus but not required.

  • Vote Rev uses a CRM called Copper to manage its relationships, so experience using a Copper or a similar CRM is a plus, but not required.

  • Vote Rev uses Asana to manage projects, so experience using Asana or a similar project management system is a plus, but not required.
