Your Role: We are looking for motivated, innovative individuals, who think big and move fast with a passion for service excellence. This position will support our Corporate Legal Division Executives.

Your work:

  • Understand the work style of the senior executive and their peers. Anticipate the senior executive's needs. Must be one step ahead of the senior executive(s) to organize, remind, prioritize, and manage their time and projects to meet all deadlines.
  • Manage of scheduling all internal and external meetings, travel plans, conference calls and day to day activities. Maximizes appropriate time allocation to senior executive's priorities based on understanding the company goals and their individual objectives.
  • Create, review and proofread documents, messages, presentations. Ensures that grammar and spelling are correct; formatting and brand standards are consistent.
  • Prepare presentation materials, including for Town Hall, Department, Division-wide and Board of Director meetings. Prepare agendas, notices, minutes and resolutions for corporate meetings and coordinates follow up with meeting participants on tasks/issues as appropriate.
  • Phone call management will include screening and prioritizing all phone calls.
  • Comfortable interacting with internal and external business partners who may include senior executives and Board of Directors.
  • Write correspondence on behalf of the senior executive. Respond to external correspondence. Type memos, purchase requisitions, payment requests and other department forms and documents.
  • Organizes programs, events, meetings or conferences by arranging facilities including site and room management, and caterers, issuing information or invitations, negotiating vendor contracts and controlling event budget.
  • Initiate space requests with facilities when internal/hub meeting space is needed (>20) and Meeting, Events, Travel when hotel space is needed. For hub locations, leverage online tool through DaVinci Company when needing meeting room space.
  • Manage catering, restaurant reservations, beverage needs, coordination of catering delivery, etc. for onsite meetings/gatherings and hub in-person gatherings. Includes supporting other leader needs due to limited EA presence onsite. May be required to fly to accompany leader when no other EAs or local support is available.
  • Collaborate, network, and influence the Executive Assistant community.
  • Serve as back up for other EAs as required, including managing calendar, coordinating travel arrangements, and meeting/event planning.

Required Experience, Education and Skills
  • BS/BA Degree
  • 10+ years of executive assistant experience to senior level executives in a mid-to large company
  • Demonstrated skills in developing effective relationships, communicating, and managing expectations in a fast-paced organization.
  • Demonstrated interpersonal, organizational and communication skills are required, with the ability to partner with managers at all levels.
  • Ability to act independently and demonstrates effective conflict resolution skills in developing recommendations and solutions to solve complex issues to anticipate executive needs.
  • Strong skills in developing effective relationships, communication skills, managing expectations in a fast-paced organization.
  • Ability to be very discrete with confidential information.
  • Continuous use of technical and business vocabulary and a detailed knowledge of company operations, organizational procedures, and resources.
  • Ability to make sound, independent decisions and use own initiative to accomplish tasks at hand.
  • Strong interpersonal, organizational and communication skills are required, with the ability to partner with employees at all organizational levels.
  • Acts independently and demonstrates effective conflict resolution skills in developing recommendations and solutions to solve complex issues to anticipate senior executive needs.
  • Highly proficient written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Advanced computer skills with the ability to train others in system usage.
  • Expert in Microsoft Office suite (e.g. PowerPoint, Microsoft, Office365, SharePoint, Excel, Pivots), collaboration programs (e.g. Internal Communication Channels, Zoom, Teams), and willingness to learn new applications as needed to support the organization.
  • Ability to design, develop and edit graphic presentations and materials using PowerPoint, Adobe, etc.
  • Ability to rapidly communicate through multiple mediums (i.e. Teams, Text, Email)).

The national average hourly range for this position is $35.70-$36.66. However, we have a location-based compensation structure. Our salary ranges vary and are calculated based on county of residence. The full hourly rate range for this position across all the states we hire in is $32.13-$47.59. This role also includes an opportunity for a company-wide annual discretionary bonus, through our Annual Incentive Plan (AIP), of up to 5% of eligible pay.
