Description
Indiana University (IU) Research seeks a highly skilled Project Management Specialist to support the associate vice president and vice chancellor for research, Bloomington, the associate vice president of Centrally Administered Centers, Institutes, Museums and Service Centers (CIMS), and be a collaborator on the IU Research central executive administrative team. The Project Management Specialist will report to the Associate Vice President (AVP) for Research and Vice Chancellor for Research, Bloomington and will assist with high-priority initiatives related to IU Research, the Bloomington campus, and Centrally Administered Centers, Institutes, Museums and Service Centers and help ensure IU Research achieves the IU 2030 Strategic Plan Pillar 2 goals.Department-Specific Responsibilities
- Tracks and manages activities with faculty, academic leaders, and partners across the university as well as internally with IU Research.
- Meets regularly with AVPs and stays current on activities, identifies roadblocks, identifies areas of collaboration, and prepares reports and meeting agendas.
- Manages and maintains filing systems and produces/refines regular reports to distribute with IU Research and University leaders.
- Assists AVP and directors with major initiatives, including improved approaches to disseminating IU Research opportunities and information, faculty consortia, and improved outreach to faculty, staff, and student researchers in collaboration with the IU Research Communications team.
- Helps with CIMS annual review process and distribution of funding awards.
- Manages executives' calendars, meetings, travel, and correspondence.
- Utilizes business software applications to prepare correspondences, reports, presentations, agendas, minutes, etc.
- Develops and maintains protocols for tracking research activities.
- Helps plan and schedule multi-stakeholder meetings to further IU 2030 Pillar 2 goals.
- Coordinates teams of researchers in collaboration with AVP for Research.
- Assists with budget management, documentation, and administration of interdisciplinary initiatives.
- Supports research development activities through communications and outreach efforts.
- Works closely with IU Research community.
- Manages medium to large projects, from start to finish, ensuring on time completion within budget.
- Develops project plan(s) and efficiently analyzes, tracks, forecasts, and reports on project metrics and shortfalls.
- Coordinates and facilitates efforts of project team(s) consisting of various staff and hourly employees.
- Communicates ongoing changes in tasks, goals, or performance.
- Collaborates to ensure that project objectives are achieved within established time frames.
- Participates in client meetings, vendor/contract decisions, and development of project requirements and specifications.
- May provide guidance and support to less experienced peers.

- Bachelor's degree in relevant field

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
