About the Role
Candidate will lead, monitor and coordinate people and processes to ensure that projects are delivered on time and produce the desired results. Coordinate with consultants, contractors, and specialist suppliers to ensure delivery of projects are in line with business required timelines. Should have a strong background in project management, budgeting, and analysis. Should be an excellent communicator and comfortable managing multiple tasks. Must be a team player and have an aptitude for problem-solving.
Key Duties and Responsibilities
- Liaise with Consultants and Designers in developing project scopes and objectives, involving all relevant stakeholders, and ensuring technical feasibility.
- Act as a Client Representative in the instance of an external Project Manager and coordinate internal resources and third parties/vendors for the flawless execution of projects.
- Ensure that all projects are delivered on-time, within scope and within budget.
- Manage communication with all stakeholders and update senior management with timely progress/ cost tracking reports including project cost to completion summary.
- Review recommendation reports submitted based on the scoring and review comments from VP of Special Projects, Senior Managements and Operators. Get necessary approvals and signatures. Liaise with commercial/ legal team to finalize LOI/contracts.
- Coordinate with the consultants ensuring that all government related approvals for the project are in place including all relevant Design and Construction NOCs and Building Permits
- Evaluate design and construction progress and prepare detailed reports on a weekly or other basis, to be agreed.
- Monitor progress on site, report major issues to VP of Special Projects and take corrective action in conjunction with Consultants and Project Managers to minimize actual and potential delays to the construction program.
- Conduct quality checks on works carried out to ensure that project components meet all specifications.
- Use appropriate verification techniques to manage changes in project scope, schedule, and costs. Create and maintain comprehensive project tracking documentation.
- Establish and maintain relationships with third parties/vendors.
- Support the assessment and valuation of contractors/ supplier's payment applications and processing of payment certification in accordance with contractual terms and conditions.
- Conduct site inspections with consultant team before project completion, to determine snags and ensure any issues are rectified before sign-off.
- Conduct site inspection on completed projects and revisit, when necessary, until the DLP/ warranty period is concluded.
- Assist and support any administrational duties in the absence of the colleague handling administration related task or as required.
- Administer requisition and approvals as required.
- Prepare reports and correspondence as required by the Department Head
About You
The ideal candidate should have proven experience as a project administrator, demonstrating excellent client-facing and internal communication skills. Strong written and verbal communication abilities are essential, along with exceptional organizational skills, attention to detail, and the ability to multitask effectively. Proficiency in Microsoft Office applications, particularly Excel and PowerPoint, is required. The role also demands strong interpersonal skills, leadership capabilities, and a solid focus on delivering outstanding customer service.
